Everything in the Researcher Dashboard happens inside an organization — the research group, sponsor, site, or institution that owns your studies. Before you can build anything, you need a researcher account and an organization to work in: either one you create or one you are invited to join.

Register and sign in#
Register#
- Open the Researcher Dashboard registration page.
- Enter your display name, email address, and password.
- Select Register.
- If email verification is enabled, check your inbox and follow the verification link.
Passwords must be at least 8 characters when registering. If Google sign-in is enabled, you can also use Continue with Google. A Google-created account may not have a password at first; you can add one later from Account Settings.
Log in#
- Open the Researcher Dashboard login page.
- Enter your email address and password.
- Select Login.
Passwords must be at least 6 characters on the login form. If Google sign-in is enabled, Continue with Google works here too.
Sign in with a magic link#
When email sign-in flows are enabled, you can skip the password entirely and request a one-time sign-in link:
- Enter your email address.
- Select Email Me a Magic Link.
- Open the link from your email inbox.
Account security#
From Account Settings, you can:
- Update your display name.
- View your account email address.
- Resend email verification when your email is unverified.
- Add or change your password.
- Review linked external sign-in methods.
- Unlink an external sign-in provider when another sign-in method remains available.
- Review active sessions, including the current session.
- Select Log Out Everywhere to revoke active sessions across devices and browsers.
Create an organization#
Create an organization when your research group, sponsor, site, or institution does not already exist in TrialPilot.
- Select Create Organization.
- Enter the organization name.
- Select Create Organization.
The person who creates an organization is automatically set as its organization administrator. Organization names on the creation form can be up to 30 characters; admins can add more details later in Organization Settings.
Join an existing organization#
If your organization already exists, ask an organization administrator to invite you. The invite is sent to the email address associated with your account.
Invitees need an account first
Organization administration#
Organization administration is available to organization admins. It has three areas: Studies, Members, and Settings.
Studies#
Open Organization > Studies to view studies in the active organization. The table includes the study name, study type, status, visibility, invite code, participant count, principal investigator, and created date. Use Create Study to start a new study — the full flow is covered in Build a study.
Members#
Open Organization > Members to manage organization users. To invite a member:
- Select Invite Member.
- Enter the user's email address.
- Choose a role.
- Select Invite.
Organization admins can change another member's role or remove a member from the organization. You cannot remove yourself from the members table.
Settings#
Open Organization > Settings to manage organization-wide details:
- Organization logo.
- Organization name.
- Primary contact name and primary contact email.
- IRB contact information.
- Mailing address.
- Website.
The logo is displayed in participant-facing materials. Uploads accept PNG or JPEG images under 2 MB. Logos are loaded separately through the authenticated dashboard, so profile and organization lists remain fast even when a logo is large.
